ReadyBop provides an AI phone receptionist for small businesses. This policy explains what personal information we collect, why, how we use it, and the choices you have. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Two kinds of people are covered here

If you call a business that uses ReadyBop

We collect the information you give during the call — typically your name, phone number, service address, what you are calling about, and your preferred appointment time. We also create a recording and a written transcript of the call.

You are told you are speaking with an AI assistant in the first sentence of every call, and told that the call is recorded. If you would rather not continue, you can ask to be put through to a person, or end the call, at any time.

We collect this information on behalf of the business you called. That business decides how it uses the booking; we act as its service provider.

Call recording

Calls are recorded and transcribed so the business you rang has an accurate record of what was agreed, so disputes can be resolved, and so we can improve accuracy.

You are informed of recording at the start of the call. If you object, tell the assistant and it will transfer you to a person or end the call. Recordings and transcripts are shared only with the business you called, and are kept for 12 months unless a longer period is required by law or by an unresolved dispute.

If you are a business customer

We collect your business name, ABN, contact name, email, phone number, service area, availability, escalation numbers, billing details, and the settings you choose for your assistant.

Automatically collected

Basic technical information such as IP address, browser type and pages visited, used to keep the site working and secure.

Why we collect it

We do not sell personal information. We do not use call recordings for advertising.

Who we share it with

Some providers store or process data overseas, including in the United States and the European Union. Where that happens we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

SMS and email

We send booking confirmations, reminders and service updates. These are transactional messages about a booking you made or a subscription you hold.

You can opt out of marketing messages at any time by replying STOP to an SMS, using the unsubscribe link in an email, or emailing hello@readybop.com. Transactional messages about an active booking may still be sent.

How we protect it

We use reputable providers, limit access to those who need it, and rely on encrypted connections. No system is perfectly secure, but we take reasonable steps and will notify affected people and the Office of the Australian Information Commissioner if an eligible data breach occurs.

How long we keep it

Call recordings and transcripts: 12 months. Booking and account records: 7 years, to meet tax and accounting obligations. Marketing contact details: until you opt out.

Your rights

You may ask us to access the personal information we hold about you, correct anything inaccurate, delete information we no longer need, or explain how we handled it. Email hello@readybop.com and we will respond within 30 days.

If your information was collected on a call to one of our business customers, we may direct your request to that business, since the booking record belongs to them.

Complaints

Contact us first at hello@readybop.com. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Children

Our service is intended for adults and for businesses. We do not knowingly collect personal information from anyone under 18.

Changes

We may update this policy. The current version is always published at this address with the date it was last updated.
